Once coursework is submitted by a lead and the rules as outlined in Configuring Equivalencies & Configuring Exams are triggered, the list of all submit courses will be available in the "Transfer Queue" screen:
Please note that you can also view the list of submitted courses and exams by browsing to the "Transfer Leads" page and clicking on a lead to view their records directly:
Any courses or exams that triggered a rule to automatically be approved will have the status of "Approved".
All other courses and exams will have a status of "Pending", "Declined" or "Credit Not Granted" depending upon the options configured fDefaults, Policies, & Limits.
The list of transfer courses and exams can be filtered by their status by choosing one of the following options ("All" is the default option):
To update any request, simply click on it's row and the following pop-up will be displayed:
Next, choose the appropriate status:
In Review
Internal review is required before approving/denying the credits.
Needs More Info
More information is required to confirm if you're able to grant any equivalencies for the submitted course.
For this status, it's recommended to use the "Comment" box to provide further details to the lead explaining what type of information is needed. For example:
Once that updated is submitted, the lead will receive an email notification that includes those comments:
Approve
Approval that transfer credits should be granted.
In cases where no matched courses were automatically added to the pending request (see how to configure rules to auto-match but leave as "Pending" in Configuring Equivalencies), you'll need to manually add the matched course(s).
To so, search by course code or title and click "+ Add to List":
Once the list is complete, set the number of credits granted and click "Submit":
Credit Not Granted
Used in instances where credits may be granted in other scenarios but aren't able to be granted. For example:
Duplicates of the same course taken.
Doesn't apply to their major/program.
Decline
Transfers credits can not be applied in any scenario. For example:
The minimum grade wasn't met.
The class taken at the feeder school doesn't meet the requirements of your course (i.e. too low level).
